Course Terms and conditions

These terms and conditions govern the legal agreement made between the student and VERSA. Please ensure that you review these terms thoroughly before submitting your enrolment form. VERSA offers Spanish language courses in Gijón, Asturias, Spain. If you book your course through travel agencies or other language course representatives, referred to as “agents,” please be aware that VERSA cannot be held responsible for any damage or compensation incurred as a result of any agreement or information exchange between the student and these agents. Students, in case of disagreement or compensations, should directly contact these agents for a solution.

    1. Agreement:

    By submitting an enrolment form, either online or in hard copy, students acknowledge that they have read and understood the terms and conditions stated below and agree to abide by them during their course of study. However, if the booking is made through a phone call, the agreement becomes legally binding for the school once the booking details are taken and payment (full or advanced) is received.

    2. Enrolment:

    a. VERSA intensive courses are intended for adults. Learners must be at least 18 years old when they start the course.
    Exceptions can be made for certain courses and under certain circumstances. If a minor makes a booking, it will have to be approved by the academy and the parent or legal guardian will have to complete and sign an authorization letter.

    b. Students need to send proof of their identity to complete their application. A copy of their national identity card (or passport) for European students and passport for nonEuropean students will be required.

    c. Prospective students must complete the enrolment form accurately and provide all necessary information.

    d. Enrolment is subject to availability, and the academy reserves the right to refuse admission if a course is full or for any other reasonable cause.

    e. Upon acceptance, students are required to pay the course fees in full to confirm their enrolment and secure their place in the chosen intensive course.

    3. Course Fees:

    a. VERSA offers various courses with different durations and levels. The fees for each course are clearly stated on the academy’s website and promotional materials.
    b. Intensive course: The total cost consists of the enrolment fee, the cost of the course, accommodation and any other extra services or fees. Course fees are payable in the currency specified by the academy and include all tuition, course materials, and access to learning resources. Books are included in the enrolment fee and will be available at the reception desk upon the student ́s arrival.

    4. Payment:

    a. Payment for the course fees can be made through the academy’s authorized payment methods, such as credit card, bank transfer, online payment platforms or in cash if necessary.
    b. Students are responsible for any transaction fees or charges incurred during the payment process.


    Intensive course: Full payment of the intensive course is required prior to its start date. Unless mentioned or agreed otherwise, the student is obliged to pay the remainder of the total cost on the first day of course.

    Nonintensive full year courses: All payments must be up to date in order to attend classes. The academy reserves the right to suspend the classes of any student with outstanding fees.

    The monthly fees remain the same every month of the academic year, irrespective of the number of classes attended, as they are calculated by dividing the total course price by the 9month duration. Classes which cannot be attended or which coincide with public holidays or holidays will not be recovered.

    5. Cancellation and Refund Policy:

    a. If a student wishes to cancel their enrolment before the course start date, they must notify the academy in writing via email or by submitting a cancellation request through the academy’s online portal.
    b. Unless the course has started, the following refund policy applies for cancellations made by the student:
    i. If the cancellation is made more than 30 days before the course start date, full refund minus 25 percent of the enrolment fee.

    ii. If the cancellation is made between 15 and 30 days before the course start date, refund of 75% of the course fee and 0% of the enrolment fee.

    iii. If the cancellation is made less than 15 days before the course start date, the academy will not provide any refund.

    c. In case of cancellation due to unforeseen circumstances, such as visa denial or severe illness, the academy may consider providing a partial refund or credit toward a future course. The student must provide valid supporting documentation for such circumstances.

    d. If a student wishes to cancel their enrolment after the course has started, no refund will be provided.

    e. In case of absence or if a student decides to withdraw from the course after it has started, neither refund nor compensation will be issued.

    f. If you wish to cancel, please inform VERSA by emailing info@versaspanish.com Notifications not received via email will not be accepted. We will consider the cancellation date to be the day on which we receive written notice.

    g. Refunds for cancellations due to illness or other emergencies may be considered at the discretion of the school administration.
    h. Non-intensive courses: Withdrawal from the course: If a student stops attending classes during the course, the student will not be entitled to claim any refund. For this reason, cancellations must be communicated to the secretary’s office at least 30 days in advance. Without this notice, the place will be considered occupied for the following month and the corresponding monthly fee will be charged. Failure to attend classes does not constitute a “withdrawal” and does not exempt the student from payment of the fee.
    i. Private classes: To ensure efficient scheduling and proper allocation of resources, VERSA requires students to cancel any private class at least 48 hours in advance. Failure to do so will result in the academy charging the student for the class. We understand that unforeseen circumstances may arise, but it is essential to respect the time of our dedicated teachers. By adhering to this policy, we can maintain the quality and effectiveness of our private classes while accommodating the needs of all our students.

    j. Exceptional circumstances


    Should you wish to cancel your reservation more than 14 days after payment, please email us as soon as possible and provide details about the exceptional circumstances that led to your cancellation request.
    Your case will be deliberated by the academy and you ́ll be informed of the decision within 14 days of your request.
    If a refund is approved, it will be calculated on a pro rata of the remaining number of classes at the time of the cancellation request. An administration fee may be charged.

    6. Cancellation by VERSA:

    The academy reserves the right to cancel the course at any time due to low enrolment or unforeseeable circumstances. In this event the academy will provide a full refund of course fees paid, or credit the student for future courses.
    If there are valid reasons, the academy may cancel your course and will do its best to inform you with as much notice as possible. In such cases, we will refund all the fees you have paid. Alternatively, we may offer you the option to transfer to another course, depending on the price difference. Please note that if the academy cancels a course, its responsibility will be limited to refunding the fees or charges you have paid for that specific course. If only part of the course is cancelled, the refund will be calculated proportionately.

    7. Attendance and Absences:

    a. Students are expected to attend all classes punctually and regularly.
    In case of an attendance below 75% of the full course, the academy reserves the right to deny the students their certificate of completion.

    b. If a student is unable to attend a class, they must inform the academy in advance, preferably by email or through the designated communication channels.
    c. Missed classes or absences due to personal reasons or travel arrangements will not be rescheduled, and no refunds or credits will be provided.

    8. Course Changes and Termination:

    a. The academy reserves the right to cancel or reschedule a course if the minimum number of students required for the course is not met or due to unforeseen circumstances. In such cases, the academy will offer an alternative course or provide a full refund. The general rule is to have at least three students in each group. However, if there are only one or two participants, the course structure will remain the same, although with reduced weekly hours. For instance, a 20hour course would be modified to a 14lesson per week format for two people and a 7lesson per week format for one person.
    b. The academy may also change the course schedule, location, or teaching staff if necessary. Students will be notified of any such changes in advance.

    c. The academy reserves the right to terminate a student’s enrolment if they engage in disruptive or inappropriate behaviour that negatively affects the learning environment. In such cases, no refund will be provided.

    9. School Liability:

    VERSA will operate under the highest professional standards. We guarantee that all of our teachers are fully qualified and experienced in teaching Spanish.
    The school assumes no liability for student misconduct and declines responsibility for any accidents, theft, or injuries incurred while under their care. All students must conduct themselves in a way that is respectful of teachers, other students and the academy. VERSA reserves the right to expel any student who fails to follow the rules and standards of the academy.

    VERSA disclaims any liability for the services of providers, such as transportation or accommodations, that students may use, regardless of whether the school facilitated such arrangements. Additionally, VERSA cannot guarantee uninterrupted course offerings due to circumstances beyond our control, such as natural disasters or civil disturbances.

    Any lessons that are forfeited due to the aforementioned reasons cannot be rescheduled or reimbursed.

    Complaints about the execution of the agreement, the course, accommodation and transfer service, should be reported immediately to the school’s secretary. Failing to do so within a reasonable period may release the school from
    responsibility.
    VERSA does not cover students for any illnesses, accidents, or loss of personal property; neither in the accommodation nor inside or outside of the classroom.

    10. Student Conduct, Liability and Responsibility:

    Students are expected to behave professionally and respectfully towards the staff and fellow students. Any behaviour that disrupts the learning environment or violates the school’s policies will not be tolerated.
    Any illegal consumption of drugs, antisocial behaviour, bullying or discrimination towards other students or staff on our premises will result in immediate expulsion from the program.

    If a student is found to be in breach of the school code of conduct, VERSA reserves the right to cancel the course and/or remove the student from the accommodation without refund.

    It is the responsibility of each student to comply with all school health and safety guidelines. Additionally, students should disclose any medical conditions or special needs before enrolling.

    Our team will work with all students to create a safe environment that fosters learning, diversity, fun and respect.
    Any concerns or issues should be brought to the attention of the administration
    immediately.
    Student are responsible for having the correct documents, insurance policy and medical policy regarding their stay abroad.

    11. Language Course:

    Classes and activities will take place in our centre and its vicinity. Some activities involve easy short distance walks, if you have walking difficulties, please inform VERSA prior to your arrival and we will take all the steps to facilitate your mobility.
    All intensive courses start on a Monday and finish on a Friday.

    There are no classes on public holidays and those hours will not be recuperated or refunded. Onetoone classes on the other hand will be rescheduled.

    Depending on the needs or pedagogical convenience, classes may change teachers. The minimum number of participants to confirm a group is 3 and the maximum 12.

    VERSA reserves the right to change timetables or cancel a group if the minimum number of students is not maintained. If VERSA is not able to offer the student a suitable alternative, all costs will be refunded. The other contractual party is not entitled to claim any damages. If requested, a class of 2 can be formed for the same price but with fewer hours per week.

    One lesson is equivalent to 50 minutes for the Intensive courses, 90 minutes for the semiintensive courses and 60 minutes for the private classes.

    12. Hybrid classes:

    You have the possibility to attend your classes virtually if you need to travel or stay at home for some reason. If you wish to do so, please inform the academy prior to the next class and we will send you a link so you can connect to the platform. It is the student’s responsibility to ensure that he/she has access to suitable IT equipment and a reliable internet connection.
    VERSA requires students to switch their camera and microphone on. We reserve the right to disconnect any student who does not comply with this obligation.

    13. Accommodation:

    Unless otherwise agreed, the accommodation can only be booked per complete week. Arrival at the accommodation after 9pm may not be possible or could have an extra fee.
    Extra nights can be booked at an additional cost and are subject to availability.

    The student is obliged to follow the accommodation rules provided by the school and/or the management of the accommodation.

    14. Aiport pickup Service:

    The airport shuttle pickup service operates from Asturias airport to the student’s accommodation in Gijón. The student has to provide the academy with the flight number and arrival time at least 7 days prior to arrival.
    The academy will not be responsible for airport pickup or refunds in the event of delay or changes in flight information where sufficient notification is not provided.

    15. Activities and Excursions:

    Activities and excursions offered by the academy are subject to change. The nonexhaustive list of activities mentioned is only given as an example of our program. Some activities may not take place or may be substituted by other activities.
